SENTIO SAFARI
Terms & Conditions
Last updated: September 2026
Thank you for choosing Sentio Safari.
We believe that a safari should be more than simply a holiday. It should be a safe, respectful and memorable experience that creates a genuine connection between our guests, Tanzania, its people and its wildlife.
These Terms & Conditions explain how bookings with Sentio Safari work, including payment, cancellations, changes, responsibilities and what happens if circumstances beyond our control affect a trip.
Please read these Terms & Conditions carefully before making a booking.
1. About Sentio Safari
Sentio Safari is a Tanzania-based safari and travel company operating from Arusha, Tanzania.
Sentio Safari
Arusha, Tanzania
Email: info@sentiosafari.com
Website: www.sentiosafari.com
For the purposes of these Terms & Conditions, "Sentio Safari", "we", "us" and "our" refer to Sentio Safari.
"Client", "traveller", "you" and "your" refer to the person or persons making or participating in a booking with us.
2. Definitions
2.1 Booking
A "Booking" means the travel arrangements confirmed by Sentio Safari for the Client.
2.2 Lead Traveller
The "Lead Traveller" is the person identified as the principal contact on the Booking Confirmation.
The Lead Traveller is responsible for providing accurate information for all travellers in the booking and, where applicable, for making payments on behalf of the group.
Where a person makes a booking on behalf of other travellers, that person confirms that they have authority to provide their details and accept these Terms & Conditions on their behalf.
2.3 Supplier
A "Supplier" means an independent provider involved in delivering part of a trip, including accommodation providers, airlines, domestic flight operators, transfer companies, safari operators, guides, activity providers, camps and other travel-service providers.
2.4 Booking Confirmation
The "Booking Confirmation" is the final written confirmation issued by Sentio Safari setting out the agreed itinerary, price, payment schedule and principal services included in the booking.
The Booking Confirmation and these Terms & Conditions together form the basis of the booking.
3. Making a Booking
Safari planning is often an interactive process. We may discuss different destinations, accommodation, activities, transportation and itineraries with you before a final itinerary is agreed.
A booking becomes confirmed when:
the itinerary and price have been agreed;
the required deposit or payment has been received; and
Sentio Safari has issued written confirmation of the booking.
Until written confirmation has been issued, availability and prices may change.
Some services may be subject to availability at the time of booking. Where a requested service is unavailable, we will discuss suitable alternatives with you.
Special requests, including dietary requirements, room preferences, mobility requirements and other arrangements, should be communicated to us before booking whenever possible.
A special request is not guaranteed unless we have confirmed it in writing.
4. Your Booking Documents
Your quotation, Booking Confirmation and final itinerary are important documents.
Please check them carefully as soon as you receive them and notify us promptly of any errors or omissions.
If something appears incorrect, we will make reasonable efforts to correct it before the trip begins.
Information contained in informal discussions or correspondence that has not been incorporated into the final Booking Confirmation should not be assumed to form part of the agreed itinerary.
5. Prices and Price Guarantee
The price of your trip will be stated in your quotation and/or Booking Confirmation.
Once your booking has been confirmed and the required deposit has been received, the agreed price will normally remain fixed, except where an adjustment is expressly permitted under these Terms & Conditions or applicable law.
Examples of circumstances that may require an adjustment include:
government-imposed taxes, levies, park fees or other mandatory charges introduced or increased after the booking;
supplier price increases that were not available or known when the quotation was prepared;
significant changes in fuel or transportation costs where these directly affect the cost of the booked services;
significant exchange-rate movements where the underlying supplier price is affected;
changes requested by the Client; or
obvious pricing or calculation errors.
Where a significant price adjustment is required, we will explain the reason for the adjustment and, where required by applicable law, provide the Client with any rights to accept, reject or cancel the affected arrangements.
We will not deliberately use estimated future price increases as a means of increasing the price of a confirmed booking without a legitimate basis.
6. Payment
The required deposit will be stated in the quotation or Booking Confirmation.
Depending on the nature of the trip, different deposit levels may apply. Tailor-made itineraries may require a different deposit because individual suppliers may have their own payment and cancellation conditions.
Unless otherwise agreed in writing, the remaining balance must be paid before the start of the trip.
If we have specifically agreed that part of the balance may be paid on arrival, the agreed payment arrangement will be stated in writing in your Booking Confirmation.
Payments should only be made to the official Sentio Safari bank account or through payment methods expressly provided by Sentio Safari.
We do not accept responsibility for payments made to unofficial accounts or third parties claiming to represent Sentio Safari.
7. Payment Charges and Currency
Our quotations may be provided in USD, EUR or other agreed currencies.
Where payment providers, banks or card companies charge transaction fees, these may be payable by the Client where clearly communicated before payment.
Any applicable payment surcharge will be disclosed before the payment is made.
Bank transfer fees charged by the Client's bank are normally the responsibility of the Client unless otherwise agreed.
8. What Is Included
The services included in your trip are those specifically stated in your quotation and Booking Confirmation.
Depending on the itinerary, these may include:
accommodation;
safari transportation;
professional safari guides;
park and conservation fees;
domestic flights;
airport or hotel transfers;
meals;
activities;
permits; and
other services specifically stated in the itinerary.
Only services expressly included in the Booking Confirmation form part of the agreed package.
9. What Is Not Included
Unless specifically stated otherwise, the following are normally the responsibility of the Client:
international flights;
visas and immigration fees;
travel and medical insurance;
vaccinations and medical expenses;
personal expenses;
alcoholic beverages;
tips and gratuities;
laundry;
optional activities;
excess baggage charges;
personal purchases;
costs resulting from voluntary changes to the itinerary; and
any other service not expressly included in the Booking Confirmation.
If you are unsure whether something is included, please ask us before booking.
10. Changes Requested by the Client
We understand that travel plans sometimes need to change.
We will make reasonable efforts to accommodate requests made after booking, subject to availability.
Changes may result in:
supplier amendment or cancellation charges;
additional accommodation costs;
additional transportation costs;
additional administrative costs; or
changes to other parts of the itinerary.
We will inform you of any additional cost before proceeding with a requested change whenever reasonably possible.
Adding services to an existing booking will normally be possible subject to availability.
If a requested change effectively cancels part or all of the original booking, the applicable cancellation terms will apply.
11. Changes Made by Sentio Safari
We work carefully with our local partners and suppliers to deliver the itinerary agreed with you.
However, travel conditions can occasionally require changes.
Examples include:
accommodation becoming unavailable;
changes to park regulations;
road closures;
weather conditions;
operational changes by domestic airlines;
supplier failures;
natural events;
government restrictions; or
other circumstances beyond our reasonable control.
Where a change is necessary, we will make reasonable efforts to provide a suitable alternative of comparable standard.
If a significant change is required, we will communicate this to you as soon as reasonably possible and, where applicable, explain any rights you may have under the law governing your booking.
Where a replacement service costs less than the original service, the difference will be addressed appropriately.
Where a replacement service costs more because of circumstances for which the Client is not responsible, we will discuss the available options with you before proceeding whenever reasonably possible.
12. Cancellation by the Client
Unless different cancellation conditions are stated in your Booking Confirmation or mandatory law provides otherwise, the following cancellation schedule applies to the land arrangements booked through Sentio Safari:
Time before departureCancellation terms45 days or moreRefund of eligible amounts paid, less a 15% administration/processing charge and any non-refundable supplier costs already incurred30–44 days50% refund or 100% booking credit, at the Client's choice15–29 daysNo cash refund; 100% booking credit may be provided0–14 daysNormally no refund or credit
The cancellation date is the date on which Sentio Safari receives the cancellation request in writing.
Certain suppliers, accommodation providers, airlines, camps or other services may impose cancellation conditions that differ from the general policy above.
Where such conditions apply and have been disclosed to the Client, they may affect the amount refundable.
Where a cancellation is covered by mandatory consumer or package-travel legislation, the statutory rights will apply.
13. Booking Credit
Where a booking credit is offered, the terms and validity period of the credit will be communicated to the Client.
Booking credits are generally non-refundable and may only be used toward a future Sentio Safari booking unless otherwise agreed.
Any supplier restrictions applying to the original booking may also apply to the credit.
14. Cancellation by Sentio Safari
We reserve the right to cancel or significantly modify a trip where circumstances make it unsafe, unlawful or impractical to operate the planned itinerary.
Examples include:
serious natural disasters;
political instability;
significant security threats;
government restrictions;
closure of national parks or protected areas;
major transport disruption;
severe weather;
supplier failure; or
other circumstances beyond our reasonable control.
Where we cancel a trip, we will explain the reason and provide any refund, alternative arrangement or other remedy required under the applicable contract and law.
We will not knowingly operate a trip where we reasonably believe doing so would expose our guests or staff to an unacceptable level of risk.
15. Force Majeure and Circumstances Beyond Our Control
Some events cannot reasonably be prevented or controlled by Sentio Safari.
These may include, among other things:
natural disasters;
extreme weather;
flooding;
fire;
epidemics or pandemics;
war;
terrorism;
civil unrest;
government restrictions;
border closures;
strikes;
major transport disruption;
changes in laws or regulations;
closure of protected areas; and
other extraordinary circumstances beyond our reasonable control.
Where such circumstances affect your trip, we will make reasonable efforts to minimise their impact and assist you with alternative arrangements where possible.
Additional costs resulting from circumstances outside Sentio Safari's reasonable control may be payable by the Client where permitted by applicable law and where such costs are not otherwise covered by the Client's travel insurance.
16. Flights and Air Travel
Where flights are included in your itinerary, they may be operated by independent airlines or aviation providers.
Flight schedules are outside our control and may change because of weather, operational requirements, aircraft availability, air traffic, technical issues or other circumstances.
Where an airline causes a delay, cancellation, missed connection, baggage issue or other disruption, we will provide reasonable assistance in accordance with the arrangements and applicable law.
The airline's own conditions of carriage and applicable passenger-rights legislation may also apply.
Clients should allow sufficient time between international flights and domestic connections.
We strongly recommend allowing reasonable flexibility in your itinerary when connecting between international and domestic flights.
17. Safari Delays and Transportation
Safari travel takes place in environments where conditions can be very different from those experienced in urban or highly developed transport systems.
Road conditions, weather, wildlife, traffic, construction, mechanical problems and other local conditions may affect travel times.
Estimated driving times are therefore provided as guidance and should not be treated as guaranteed arrival times.
We will make reasonable efforts to keep the itinerary on schedule, but safety will always take priority over strict adherence to planned timings.
18. Wildlife
Wild animals are unpredictable.
While our guides and local partners will make every reasonable effort to provide excellent wildlife-viewing opportunities, we cannot guarantee sightings of any particular animal, species or natural event.
Animals may move, hide, migrate or behave differently from expectations.
Guests must follow the instructions of their guide and respect applicable wildlife and park regulations.
Guests must not:
approach or attempt to touch wild animals;
feed wildlife;
deliberately disturb animals;
leave vehicles where this is prohibited;
use drones where prohibited; or
otherwise act in a way that could endanger themselves, wildlife or other guests.
Responsible wildlife tourism is central to the experience we want to provide.
19. Responsible Travel and Conservation
Sentio Safari is committed to responsible and respectful tourism.
We encourage our guests to:
respect wildlife and protected areas;
follow the instructions of guides and park authorities;
respect local communities and cultural traditions;
minimise waste;
avoid unnecessary single-use plastics where possible;
support responsible local businesses;
avoid purchasing products made from protected wildlife or endangered species; and
behave respectfully toward people, animals and the environment.
Our goal is to create meaningful experiences while contributing positively to the places and communities we visit.
20. Health, Fitness and Medical Requirements
Some safari and adventure activities can be physically demanding.
Before booking, you should consider whether the trip is suitable for your personal circumstances.
You must provide accurate information about any mobility limitations, dietary requirements, allergies or other circumstances that are relevant to the safe delivery of your trip.
You should seek appropriate professional medical advice regarding travel to Tanzania, including vaccinations, medication and other health precautions.
Health requirements can change over time. Clients are responsible for obtaining current advice from an appropriate medical or travel-health professional before departure.
Where an activity has particular physical or medical requirements, we will provide relevant information known to us.
21. Travel Insurance
Comprehensive travel insurance is strongly recommended and may be required as a condition of booking.
Your insurance should, where appropriate, provide cover for:
cancellation and interruption;
medical treatment;
emergency evacuation;
repatriation;
personal belongings and baggage;
travel delays;
missed connections;
activities included in your itinerary; and
other risks relevant to your trip.
You should arrange appropriate insurance as soon as possible after booking.
Please read your policy carefully to ensure that safari activities, adventure activities and any other planned activities are covered.
Sentio Safari cannot be responsible for losses that are properly recoverable under a travel insurance policy.
Nothing in these Terms & Conditions excludes any liability that cannot lawfully be excluded.
22. Accommodation
Accommodation is provided by independent hotels, lodges, camps and other accommodation providers.
Accommodation categories, facilities and services can differ between properties and destinations.
Where a specific property is stated in your Booking Confirmation, we will make reasonable efforts to provide that property.
If the property becomes unavailable for reasons outside our reasonable control, we may arrange a suitable alternative of comparable standard.
Where a significant difference arises, we will communicate this to the Client and provide any remedy required under the applicable contract or law.
Specific room numbers, views, bed configurations and other individual room preferences cannot always be guaranteed unless expressly confirmed.
23. Optional Activities and Excursions
Some activities may be offered by independent third-party providers.
Where an activity is not included in your Booking Confirmation and is not arranged or operated by Sentio Safari as part of your contracted travel arrangements, it may be subject to the third party's own terms and conditions.
We will make reasonable efforts to provide accurate information about activities we recommend, but we cannot guarantee the availability or operation of an independent activity that is outside our control.
Where required by applicable law, the legal responsibility for an activity will depend on whether it forms part of the travel package arranged by Sentio Safari or is separately contracted directly with another provider.
24. Guest Conduct
We want every guest to have a safe and enjoyable experience.
Guests are expected to behave respectfully toward:
other travellers;
guides and staff;
local communities;
accommodation providers;
wildlife;
national parks and protected areas; and
local laws and regulations.
We may take appropriate action, including ending a guest's participation in a trip, where a person's behaviour:
is illegal;
creates a serious safety risk;
threatens or harms another person;
seriously disrupts the trip;
causes significant damage to property; or
puts wildlife or the environment at risk.
Where a trip is terminated because of a guest's serious misconduct, the guest may be responsible for resulting costs, subject to applicable law.
25. Problems During Your Trip
If something goes wrong during your trip, please tell us or your guide as soon as reasonably possible.
This gives us the best opportunity to investigate the problem and, where possible, correct it while you are still travelling.
We genuinely want to resolve problems when they occur rather than waiting until after the trip.
If you are unable to resolve a problem during the trip, please contact Sentio Safari as soon as reasonably possible and keep relevant evidence, such as photographs or written information from the supplier.
Nothing in this section limits any legal rights you may have regarding complaints or claims.
26. Complaints After the Trip
If you remain dissatisfied after your trip, please contact us in writing with:
your booking reference;
the nature of the complaint;
relevant dates;
the service concerned; and
any supporting documentation.
We will review the matter and, where appropriate, discuss the issue with the relevant supplier.
We aim to respond to complaints fairly and within a reasonable period.
27. Our Suppliers
Many of the services that make up a safari are delivered by independent local and international suppliers.
These may include:
accommodation providers;
domestic airlines;
transfer companies;
safari vehicle operators;
guides;
activity providers;
conservation areas; and
other tourism businesses.
Suppliers may have their own terms and conditions, safety requirements and cancellation policies.
Where those terms apply to a service forming part of your booking, we will communicate material conditions to you where appropriate.
28. Liability
Sentio Safari accepts responsibility for providing the travel arrangements that we have agreed to arrange under your Booking Confirmation, subject to the terms of the contract and applicable law.
We are not responsible for losses, delays or additional costs caused solely by circumstances that are outside our reasonable control.
Examples may include extraordinary weather, natural disasters, government restrictions, war, civil unrest, terrorism, major transport disruption, strikes, closure of protected areas or other force majeure events.
We are also not responsible for services that you independently arrange outside your contract with Sentio Safari.
Nothing in these Terms & Conditions excludes or limits liability where doing so would be unlawful, including liability that cannot legally be excluded or limited.
Where a travel package is subject to mandatory package-travel legislation, the rights and remedies provided by that legislation will apply.
29. Local Conditions and Standards
Travelling internationally means experiencing conditions that may differ from those in your home country.
Infrastructure, roads, healthcare facilities, transportation, communications, accommodation facilities, accessibility and other services may operate differently from what you are accustomed to.
We will provide information about known conditions that are material to the trip and encourage guests to ask questions about anything that is important to them before booking.
Our intention is not to compare one country negatively with another, but to ensure that our guests travel with realistic expectations and appropriate preparation.
30. Personal Belongings
Guests are responsible for taking reasonable care of their personal belongings.
Valuables should not be left unattended.
We recommend that passports, money, electronics and other valuable items are stored securely whenever possible.
Any loss, theft or damage should be reported to the relevant accommodation provider, transport operator, local authority or guide as appropriate.
Travel insurance should provide appropriate cover for personal belongings.
31. Photography and Media
We respect the privacy of our guests.
Sentio Safari will not use identifiable photographs or videos of guests for promotional purposes without appropriate permission.
If you voluntarily provide photographs or videos to Sentio Safari and agree that they may be used for promotional purposes, we may use them in our marketing and communication channels in accordance with that permission.
Guests should also respect the privacy and dignity of local communities, guides, staff and other travellers when taking or sharing photographs.
32. Children and Families
Parents or guardians are responsible for ensuring that any safari or activity selected is suitable for accompanying children.
Some activities, accommodation facilities, walking safaris, boat trips or other experiences may have minimum age or safety requirements.
Please tell us the ages of all children travelling at the time of booking so that we can recommend suitable arrangements.
33. Accessibility and Special Requirements
We welcome enquiries from travellers with accessibility or other special requirements.
Please communicate your requirements as early as possible.
Tanzania's infrastructure and some safari environments may present accessibility challenges, particularly in remote areas.
We will provide honest information about known limitations and work with our local partners to identify suitable arrangements where possible.
34. Financial Protection
Sentio Safari takes the security of customer payments seriously.
We work with our local suppliers to secure accommodation, transportation and other services as early as possible.
However, the financial protection available to a traveller depends on the legal status and jurisdiction of the booking and on any applicable travel-guarantee or insolvency-protection arrangements.
Where a statutory financial protection scheme applies to a booking, the information required by that scheme will be provided to the traveller.
Clients should also maintain appropriate travel insurance.
35. Privacy and Personal Information
Sentio Safari may need to collect personal information in order to arrange and operate your trip.
This may include:
names;
passport information;
travel dates;
flight information;
dietary requirements;
accommodation requirements;
emergency contact information; and
other information necessary to provide the booked services.
Personal information will be handled in accordance with our Privacy Policy and applicable data-protection law.
36. Applicable Law and Consumer Rights
These Terms & Conditions are intended to be interpreted together with the mandatory laws applicable to the booking.
Where applicable consumer, package-travel, tourism, aviation or other legislation provides rights that cannot legally be excluded or limited by contract, those rights will apply.
Nothing in these Terms & Conditions is intended to deprive a consumer of mandatory rights available under applicable law.
Where no mandatory law determines otherwise, the contract will be governed by the laws applicable to Sentio Safari's place of establishment, and disputes will be dealt with by the competent courts or dispute-resolution bodies having jurisdiction.
37. Changes to These Terms & Conditions
Sentio Safari may update these Terms & Conditions from time to time.
The version applicable to your booking will normally be the version in effect when your booking is confirmed, unless a later change is required by law or is expressly agreed with you.
38. Entire Agreement
The Booking Confirmation, agreed itinerary, quotation and these Terms & Conditions together form the basis of the agreement between Sentio Safari and the Client.
If there is a conflict between these documents, the specific terms stated in the Booking Confirmation will normally take precedence over general information, subject always to applicable law.
39. Contact
